Conditions of Enrolment

Local Students

These Conditions of Enrolment set out the terms and conditions on which students are enrolled at Trinity Grammar School, Kew. By enrolling their child at the School, parents accept and agree to be bound by these Conditions of Enrolment.

Enrolment Process

An application for admission must be completed and submitted to the Director of Admissions, together with a non-refundable application fee. An application for admission does not guarantee an offer of enrolment at the School.

Prior to the requested level of entry, parents/ guardians will be asked to provide the School with relevant information about their child’s academic, learning, medical, physical, social and emotional needs, and/or any matter which may affect the School’s ability to meet their child’s educational needs.

An offer of enrolment may be made at the discretion of the Head, in accordance with the School’s enrolment policy, and will be conditional on the Head being satisfied as to the suitability of the applicant and the ability of the School to meet the applicant’s educational needs.

The parents/guardians accept that the Head may decline to enrol, or may cancel the enrolment of, a student if, in order to participate in or derive substantial benefit from the School’s educational program, the student requires or would require special services or facilities which, in all the circumstances, would be unreasonable for the School to provide or, even after the provision of such special services or facilities, the student could not derive substantial benefit from the School’s educational program.

Confirmation of Enrolment

If an offer of enrolment is received, the parents/ guardians must confirm their acceptance of the offer and these Conditions of Enrolment (as varied from time to time) by:

  1. signing a ‘Confirmation of Enrolment’ form
  2. paying an Enrolment Fee of $2,000 (of which

$500 is refundable when the student leaves the School, or the student’s enrolment is otherwise cancelled, subject to all amounts due to the School having been paid)

  1. paying a Holding Deposit of $2,500 (which is non-refundable and non-transferable between year levels or between siblings) that:

{ for students commencing in the ELC, will be credited against the student’s Term 2 tuition fees in the year he commences Prep (in the February statement)

{ for all other students, will be credited against the student’s Term 2 tuition fees in the year he commences at the School (in the February statement)

If a student with a confirmed place does not commence at the School, the Holding Deposit is surrendered.

Fees

Parents/guardians agree to pay tuition fees and other charges in relation to the enrolment of their child. Tuition fees and other charges are set by the School Council and may be changed from time to time at its discretion. The Schedule of Fees and Payments is available at trinity.vic.edu.au/fees-and-payments

The parents/guardians, if more than one, are jointly and severally liable for the payment of all fees and charges invoiced by the School in relation to a student’s enrolment. This joint and several liability will continue regardless of any changes to the relationship between the parents/ guardians, any court order as between the parents/ guardians, or any child support or other arrangement between the parents/guardians regarding payment of fees.

Tuition fees are payable one term in advance (e.g. tuition fees for Term 1 are due at the commencement of Term 4 of the previous year; tuition fees for Term 2 are due at the commencement of Term 1 of the same year etc.).

A Fixed Charge (which does not apply to ELC students) is payable each term, to cover costs including those associated with sporting equipment, bus travel to training/sporting matches, the issue of the school diary, school publications and accident insurance protection.

Additional charges are payable for:

  1. compulsory school camps (students in Years 3-10)
  2. the Year 9 China Experience
  3. the provision of tablet computers and associated incidentals (students in Years 5-12)
  4. some excursions
  5. private music lessons
  6. school photographs

Absence from school for part of a term does not remove the obligation to pay the entirety of the tuition fees and other charges for that term. A discount on tuition fees is available where annual fees are paid in full in October of the preceding year.

A family discount is available to families with three or more students enrolled in the Junior School or Senior School at any one time. The third and any subsequent child will qualify for a 25% discount in tuition fees.

Mid-term enrolments to the School will be charged a full term’s tuition fees in advance plus a pro-rata amount for the remainder of the term for which the student is enrolled. Payment of each term’s tuition fees must be made within 21 days of the statement date. A late fee may be charged where accounts are overdue.

At the discretion of the Head, non-payment of tuition fees and charges may result in the student’s tuition being suspended until full payment is made, or a payment arrangement has been agreed to by the Head and confirmed by the School in writing. Any delay by the School to strictly enforce its terms of payment is not a waiver of the School’s rights.

If the School refers an outstanding amount to an external debt collection agency, the parents/guardians agree to reimburse the School for any costs or expenses incurred in doing so.
