What is the role of an Event Planner?

Event Planners are generally responsible for structuring, coordinating and ensuring timely preparation. They are responsible for actualizing everything related to an event from brainstorming ideas, conceptualization, to preparations and logistics. With the responsibility of making experiences and bringing visions to life, an event planner is adept at juggling multiple tasks including scouting for venues, soliciting bids, managing budgets, managing vendor and client relationships and other duties.

Organizations, businesses, and individuals usually depend on event planners to manage business meetings, conventions, trade shows, and private parties. Event Planners can specialize in certain areas such as the case for bridal consultants also known as wedding planners.

Education, Training, & Certification

Generally, education and training requirements vary depending on the area of specialization, which can include weddings or other personal events, business meetings, conventions, and conferences.

  • Education: A Bachelor’s Degree in Hospitality Management, Public Relations, Marketing, Communications, Business, or a related field is required. Entry-level jobs may accept candidates without formal education.
  • Certification: Certification is voluntary but helps to boost credibility. A common example of accreditation includes the Certified Meeting Professional (CMP) certificate.
  • Experience: Internships or work experience in a related field such as the hospitality industry is useful.

Event Planner - Skills & Competencies

Besides an in-depth understanding of hospitality management, the following skills and competencies are essential:

  • Problem-solving skills: Maintaining composure and troubleshooting through roadblocks or unforeseen circumstances are essential.
  • Communication skills: Exemplary verbal, writing and listening skills are essential to ensure the candidate interacts energetically with vendors, event attendees, and other staff.
  • Detail-oriented: A keen eye for detail is essential for noticing the slightest mistakes.
  • Coordination skills: Ability to work well with other people, as well as make adjustments to your actions to others are essential skills.
  • Interpersonal skills: Ability to develop and maintain relationships with vendors is essential.

Job Outlook

Employment in this occupation is expected to be relatively above average in the next decade compared to other professions. This is chiefly due to the strong and continuing demand for professionally coordinated events and meetings. However, job prospects are higher for those with experience in hospitality, social media outlets and virtual meeting software.

Work Environment

Event planners work either indoors or outdoors. Travel to event sites and venues is common, especially during the time leading up to the events and the events themselves. The work environment is fast-paced and demanding. Typically, this is a full-time position that requires overtime in the days leading to and during significant events.
